Essential Job Functions

As a Design Coordinator, you will play a key role in shaping the buyer’s first impression of the design studio experience. You will initiate welcome calls, lead orientation sessions, support the Design Consultant during customer appointments, and manage behind-the-scenes administrative tasks that keep the design process on track.

Your work will help streamline customer journeys, create a calm and welcoming environment, and ensure that documentation is thorough and timely. This position blends customer service with administrative excellence and requires strong communication and organizational skills.

Position Responsibilities

  • Conduct scripted welcome calls within one week of contract signing to introduce customers to the design process.
  • Prepare and maintain customer folders and documentation, uploading them to the appropriate lot-specific file system.
  • Support design appointment scheduling, confirmations, and logistics coordination, particularly for specialty selections such as pools.
  • Facilitate small-group buyer orientation presentations to educate customers on the upcoming design process.
  • Assist the Design Consultant during appointments by managing documents, entering data, and helping guide the flow of sessions.
  • Begin learning how to modify selection documentation using PDF tools and floor plan markups as part of the design update process.
  • Participate in tracking final design selections and communicating them to internal departments such as construction and permitting.
  • Maintain a welcoming and polished atmosphere in the design studio, ensuring customers feel supported and informed throughout.

Position Qualifications

  • Strong computer literacy, with confidence using PDF editing tools, shared drives, and basic data entry platforms.
  • Clear, professional phone presence with the ability to convey warmth, confidence, and clarity.
  • Comfortable delivering brief presentations to small groups in a customer-facing setting.
  • Exceptionally detail-oriented and able to manage multiple administrative tasks without sacrificing accuracy.
  • Calm and collected when managing customer inquiries or concerns, particularly in high-emotion or time-sensitive situations.
  • Prior experience in customer service, administration, reservations, or hospitality is preferred.
  • A desire to grow within a structured, team-based environment that prioritizes service and precision.
