Essential Job Functions
As an Executive Assistant, you will provide high-level administrative support to the business owner, ensuring efficiency in daily operations and strategic initiatives. This role is essential for managing both personal and business tasks, enabling the owner to focus on key growth activities. Over time, you will take full ownership of scheduling, correspondence, and project coordination to streamline operations.
Key Responsibilities
- Oversee and manage the owner’s calendar, scheduling appointments and meetings, and maintaining email correspondence to ensure timely responses and task prioritization.
- Arrange travel logistics for personal and business trips, including booking flights, accommodations, and creating detailed itineraries.
- Handle personal errands, including bill payments, coordinating home services, and organizing personal projects or events.
- Conduct research on various topics, including business trends, vendors, and tools, and provide actionable summaries.
- Attend meetings as required, take detailed notes, and follow up on key deliverables.
- Prepare and manage business documents, forms, and reports for signature and review.
- Assist with scheduling speaking engagements, webinars, or podcasts.
Position Qualifications
- Minimum of 5 years in an executive assistant or similar role supporting senior executives.
- Proven ability to manage multiple priorities, meet deadlines, and maintain accuracy in task execution.
- Strong proficiency with Microsoft Office, Google Workspace, and project management tools.
- Excellent verbal and written communication skills, with the ability to interact professionally with clients and team members.
- Ability to independently resolve issues and propose solutions to challenges.
- High level of confidentiality and trustworthiness in handling sensitive information.
