Position Overview
As the Financial Planning Coordinator with our client, this position offers an outstanding opportunity for an organized, client-ready financial planning professional to serve as the operational and planning “triage” for the advisory team. You will work closely with the lead advisor and associate advisor to ensure client meetings are thoroughly prepared, meeting follow-up is executed with precision, and client communication is handled promptly and professionally. This role is ideal for someone who enjoys being deeply involved in planning and client service, thrives on details and prioritization, and wants to build expertise and impact without a primary focus on sales or business development.
Key Responsibilities
- Prepare thoroughly for client meetings by reviewing updated planning outputs, confirming data completeness, identifying gaps or inconsistencies, and highlighting key discussion items for the advisory team.
- Own post-meeting follow-up by generating clean meeting summaries using the firm’s tools, translating advisor decisions into clear and actionable tasks, and ensuring assignments are properly routed to the correct team members in the CRM with sufficient detail to execute.
- Triage and manage the lead advisor’s inbox by prioritizing client requests, drafting responses on behalf of the lead advisor when appropriate, and coordinating timely resolutions so client communication does not stall.
- Serve as a confident client-facing point of contact by returning calls, responding to emails, and communicating next steps with professionalism, warmth, and strong judgment.
- Partner with the client service team to reduce back-and-forth by anticipating questions, clarifying task intent, and ensuring instructions are specific, accurate, and complete before work is handed off.
- Support the ongoing planning process by leveraging eMoney and related tools to review plans, identify planning opportunities, and help ensure recommendations remain consistent with prior meetings and client priorities.
- Maintain strong control of weekly priorities by managing deadlines across multiple clients and meetings, proactively identifying bottlenecks, and keeping the advisory team informed of what is on track, what needs attention, and what decisions are required.
- Continuously look for ways to improve planning workflows and reporting by learning new platform capabilities, suggesting process enhancements, and helping the firm get greater leverage from its technology stack.
- Work in a hybrid schedule, collaborating in-office multiple days per week to stay tightly aligned with the advisory and service teams while maintaining the flexibility to perform focused work remotely.
Position Qualifications
- Bachelor’s degree required.
- 3+ years of experience supporting financial planning and client service within a wealth management, RIA, or similar environment.
- Demonstrated ability to prioritize and execute in a fast-moving environment with multiple concurrent deadlines, high attention to detail, and strong follow-through.
- High comfort level with technology and learning new systems quickly, including strong Excel skills and the willingness to teach yourself new workflows and features.
- Experience with financial planning software such as eMoney is strongly preferred, and experience with CRM-driven workflows and task management is highly valued.
- Strong written and verbal communication skills with the judgment and confidence to represent the firm in client interactions.
- A service-oriented mindset with a natural ability to translate advisor intent into clear actions for others, creating efficiency and reducing friction across the team.
- Interest in building depth and long-term impact in a client coordination and execution-focused role, with motivation to improve systems and processes rather than pursuing a primarily sales-driven career path.
