Essential Job Functions

As an Office Administrator with our client, you will be responsible for managing day-to-day front desk operations, greeting and assisting visitors, and providing administrative support to the office. This includes answering phones, scheduling appointments, handling office supplies, and maintaining a professional and welcoming environment. You will also help the team with basic administrative tasks and assist in learning and utilizing new systems. The ideal candidate is organized, outgoing, and highly motivated, with a passion for creating a positive first impression for all visitors.

Position Responsibilities

  • Serve as the primary point of contact for visitors, ensuring they are greeted warmly and feel welcome upon arrival.
  • Manage front desk operations, including answering and directing phone calls, scheduling appointments, and responding to inquiries in a professional and timely manner.
  • Maintain a tidy and organized reception area and office, ensuring the environment is always clean and presentable.
  • Assist with administrative tasks, including managing office supplies, processing mail, handling filing, and data entry as needed.
  • Learn and efficiently use office systems and software to support team needs, including scheduling and communication tools.
  • Work closely with the office team to provide support as needed, fostering a collaborative and positive work environment.
  • Handle any additional tasks related to office management as assigned, including assisting with event planning or coordinating meetings.
  • Create an inviting atmosphere for both team members and visitors by always maintaining a customer first and professional demeanor.

Position Qualifications

  • No specific experience in homebuilding is required, but experience in office administration or front desk roles is preferred.
  • Excellent interpersonal skills, with the ability to interact warmly and professionally with clients, visitors, and team members.
  • Proficiency in basic computer skills, including familiarity with Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills, with attention to detail and the ability to manage multiple tasks simultaneously.
  • A team-oriented attitude, with the ability to collaborate effectively with others and foster a positive work environment.
  • A positive, bubbly personality with a strong drive to provide excellent customer service and make a lasting first impression.
