Essential Job Functions

As a Purchasing Coordinator for our client, you will be responsible for supporting the purchasing department by managing administrative and operational functions critical to vendor communication and project setups. This role focuses on the accurate processing of purchase orders (POs), vendor price management, and internal system updates across multiple active and upcoming communities. You will be instrumental in ensuring data integrity, processing efficiency, and timely issue resolution.

The goal for this hire is to contribute to the company’s expansion by supporting the purchasing team with precision and efficiency during a period of new community launches and ongoing growth.

Position Responsibilities

  • Review and release purchase orders accurately and in a timely manner, ensuring correct pricing and coding.
  • Monitor and address errors flagged through internal systems and reports, collaborating with vendors and internal teams to resolve discrepancies.
  • Support the initial setup of new communities by assisting with start requests and coordinating material and service orders.
  • Approve VPOs (vendor purchase orders) submitted by construction managers, ensuring accuracy and completeness before final release.
  • Communicate with vendors to address pricing updates, corrections, and minor PO adjustments as needed.
  • Maintain up-to-date pricing information and vendor records within internal systems.
  • Prioritize and process start requests and purchasing documents efficiently to support construction timelines.
  • Collaborate with the purchasing manager and other internal stakeholders to support operational consistency and community launch objectives.
  • Provide administrative support to the purchasing team, including reporting and documentation as required.

Position Qualifications

  • Preferably 3+ years of experience in purchasing, accounting, or a related administrative role.
  • Ability to manage a high volume of detailed data entry tasks with a high degree of accuracy.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Proficient in the use of purchasing or construction management software systems; experience with SupplyPro is a plus.
  • Comfortable working independently after initial training without micromanagement.
  • Strong communication skills, both verbal and written, to coordinate with internal teams and external vendors.
  • Demonstrated ability to work within established processes while identifying areas for improvement.
