Essential Job Functions

As a Transaction Coordinator, you will play a vital role in supporting our client’s residential real estate operations by ensuring smooth and efficient property closings. You will manage all aspects of the transaction lifecycle from contract to closing, acting as the liaison between title companies, internal stakeholders, and sellers. You will be responsible for organizing documentation, maintaining accurate records, and communicating updates to the team and clients to ensure timelines and quality standards are consistently met.

You will work closely with an experienced Transaction Coordinator currently on the team, providing support while also managing a dedicated caseload. Your role will help streamline processes and ensure the success of 15–20 monthly transactions, including purchases, wholesales, and creative finance deals.

Position Responsibilities

  • Efficiently handle real estate transactions, coordinating from contract to close and ensuring timely completion of all steps.
  • Maintain daily communication with title companies, sellers, internal teams, and external stakeholders to monitor progress and address any issues.
  • Review contracts, title reports, and closing documents to ensure accuracy and completeness.
  • Act as the point of contact for sellers post-contract, providing updates and guiding them through the closing process.
  • Manage and maintain deal sheets, trackers, and transaction documents, primarily using spreadsheets and the company’s CRM.
  • Collaborate with internal teams to share updates, resolve challenges, and ensure alignment across departments.
  • Support ongoing improvements to the transaction process by providing feedback and implementing efficiencies.

Position Qualifications

  • At least 5 years of experience in a transaction coordination, escrow assistant, or similar real estate role.
  • Proven ability to manage multiple transactions simultaneously in a fast-paced environment.
  • Strong understanding of residential real estate transactions, including title, escrow, and closing procedures.
  • Excellent communication and interpersonal skills, with a professional, empathetic, and service-oriented approach.
  • Highly organized with great attention to detail and a commitment to accuracy.
  • Proficient in spreadsheet management and comfortable using CRM platforms.
  • Able to work collaboratively with team members and take initiative to solve problems independently.
